  • CHEMSPRO 2016 Year End Reminder

    Please the keep the following things in mind as we go through year end. You will need a CHEMSPRO admin user in your county to perform these tasks.

    2017 Equipment Rates
    The updated equipment rates are available via CHEMSPRO. Run the program on the T)ools, E)quipment, N)ew Rates menu option. Even though they are updated automatically you still need to verify the rates you are charge out are correct. You may also need to manually update rates such as a welder that has a rating or cubic yard vs ton rates.

    Inventory Usage Rollover
    After you complete your 2016 inventory processing and before you begin 2017 transactions you should ‘roll’ your inventory usage totals to prepare for 2017. Run the ‘A)nnual, M)ove YTD Qty Used’ program once to roll over your annual inventory usage totals.

    2017 Job Activities
    After you finish your 2016 transactions and before you begin charging jobs in 2017 you need to create activities in your jobs for 2017. Run the ‘T)ools, J)obs, N)ew Activities’ program. You want to ‘'Take from year' = 2016 and 'Setup New Year' = 2017.

    This should be done right at year end, probably the first week of January for most of you. When you run the program your active jobs (those that don’t have an end or close date) will have activities created in them for 2017 AND the default activity will be set for the 2017 activity code. So after you run this you will still be able to charge in 2016 but you won’t get any default activities for 2016 so again do this after your 2016 transactions are for the most part complete and before you charge jobs in 2017.

    2017 Work Orders
    If your work orders start with either a 2 or 4 digit year you can use the program on the T)ools, W)ork Order, G)enerate New menu option to automatically create your 2017 work orders. This program will only work if you have NOT setup any 2017 work orders manually.

    Equipment Cost Analysis
    Use CHEMS to submit your equipment cost analysis data for 2016. Run the program on the R)eports, P)eriod, E)quipment, S)tate Operations. The DOT will let you know if a spreadsheet is also needed again for 2016.
