  • 2018 Year End Reminder

    Please the keep the following things in mind as we go through year end. You will need a CHEMSPRO admin user in your county to perform these tasks.

    2019 Equipment Rates
    The updated equipment rates are available via CHEMSPRO. Run the program on the T)ools, E)quipment, N)ew Rates menu option. Even though they are updated automatically you still need to verify the rates you charge out are correct. You may also need to manually update rates such as a welder that has a rating or cubic yard vs ton rates. The update program does not update the rate descriptions and some have changed this year. Please review both the actual rates and the descriptions.

    Inventory Usage Rollover
    After you complete your 2018 inventory processing and before you begin 2019 transactions you should ‘roll’ your inventory usage totals to prepare for 2019. Run the ‘A)nnual, M)ove YTD Qty Used’ program once to roll over your annual inventory usage totals.

    Current Costed Inventory
    Be sure to run a "Current Costed Inventory" report to take a snapshot of your 2018 year end inventory value before you start 2019 transactions. The current costed report is a snapshot at the time you run it. If you do 2019 transactions before you run it they are reflected in the current costed report and that isn't what you need for 2018 year end inventory year end values.

    2019 Job Activities
    After you finish your 2018 transactions and before you begin charging jobs in 2019 you need to create activities in your jobs for 2019. Run the ‘T)ools, J)obs, N)ew Activities’ program. You want to ‘'Take from year' = 2018 and 'Setup New Year' = 2019.

    This should be done right near year end, probably the first week of January for most of you. When you run the program your active jobs (those that don’t have an end or close date) will have activities created in them for 2019 AND the default activity will be set for the 2019 activity code. So after you run this you will still be able to charge in 2018 but you won’t get any default activities for 2018 so again do this after your 2018 transactions are for the most part complete and before you charge jobs in 2019.

    2019 Work Orders
    If your work orders start with either a 2 or 4 digit year you can use the program on the T)ools, W)ork Order, G)enerate New menu option to automatically create your 2019 work orders. This program will only work if you have NOT setup any 2019 work orders manually.

    Equipment Cost Analysis
    Use CHEMS to submit your equipment cost analysis data for 2018. Run the program on the R)eports, P)eriod, E)quipment, S)tate Operations. There is no need to send in a spreadsheet to the DOT if you submit your data this way. Cassey will let you know if there are any issues with your data or if any additional information is needed.
